We can pay for your conference registration and hotel accommodations
with our department card, so you do not have to front that expense yourself.
Any request for Conference Registration fees should be included on
your travel form with the URL and thorough instructions on how to
complete registration. This includes any required personal
information.
¨ If a login is required for registration, you may either share the
credentials in the notes section of the travel form or visit your travel
arranger's oWice when you9re ready to check out and the Travel
Arranger will enter payment information.

Please note: if you book an Airbnb for your trip and share it with other
people, you can only be reimbursed for your share of the cost. For
example, if you and 3 other people rent an Airbnb or other similar types of
lodging, we will only reimburse you for ¼ of the cost. The other people
have to pay you their share, and you give them receipts. They then give us
the receipts and we reimburse them. If you share it with people from
outside of the University of Utah, they must pay you as well. You cannot
pay for anyone else9s expenses but your own and that means any kind of
expense. This is University Policy.
After Your Trip Concludes

Email all required documentation to travel@sci.utah.edu. Receipts must be
scanned as single ûles and not all in one pdf. We will process
reimbursements in the order we receive them. Be sure to include any dates
for Per Diem reimbursements.

Trip registration, travel insurance for international trips, and airfare are the
only expenses that can be paid in advance using the provided chartûeld if
you book through SCI. All others must be reimbursed after the trip has
concluded.

Receipts must be submitted within 20 days of the completion of your trip.
