Before You Travel
We use software called Concur for travel at the University of Utah. This is a software
package that is used by companies world-wide so there is a chance you9ve heard of it
and/or have used it before. Here at SCI, we take care of everything Concur-related.
We will request your Concur account for you and you will be notiûed when you are in
the Concur system. You do not have to enter anything into Concur other than your
personal information under proûle. Once you have an account you should log in and
put necessary travel information into your proûle. This is important because if it is not
in there, your travel cannot be booked.

We have a Travel Request Form that you need to use to notify us that you are
traveling The Travel Request Form is required for any travel for faculty, staW,
and students. Once we receive this form, we will register your trip in Concur
for you. The link to the travel form is on the SCI website:

Note: We are happy to book your ûights for you. You may book all of your travel yourself
however you need to tell us you are traveling by ûlling out the travel request form. Only
book your own travel if you can wait until you return to be reimbursed. Do not book
your travel and then ask us for an early reimbursement.

All travel must be registered in Concur by our staW prior to your trip.
International trips must be registered in Concur at least 3 weeks prior to
your departure. Failure to register by this deadline will result in the need
for VP approval.

We process travel forms in the order they are received, not by travel date. In
times of high-volume travel (e.g. VIS) it is recommended you submit your travel
request as soon as possible.

The University of Utah requires us to purchase international travel insurance
for any international travel. We will purchase the policy and send you the
documents for your records.

We strongly recommend booking your airfare with us, as our travel agents have
government negotiated contracts with the airlines (for some destinations) to
save us the most money.
