Employees are entitled to all vacation days accrued; however, employees are expected to
request approval of vacation time from their immediate supervisor in advance. Supervisors may
approve or deny vacation requests depending upon operational and staffing needs.
1. Employees scheduled to work at least 20 hours per week, but no less than 1,040 hours
annually, will accrue vacation hours determined by the number of hours worked.

***All eligible (1,040 hours annually) employees are entitled to 1 personal day each calendar year.
The personal day is equivalent to the employee’s normal work schedule. The personal day is lost
and not rolled over, if not used by the end of the calendar year (or fiscal year for catholic schools).
Unused personal day will be paid out at termination. ***
1. Nonexempt employees accrue vacation hours based on hours worked, with the exception
of overtime hours. Exempt employees accrue vacation time based on the employee’s
standard work schedule.
2. Employees accrue vacation while on extended paid leave of absence (FMLA and Non-FMLA
Leave). Paid vacation time does not accrue while employee is on unpaid status during
extended leaves of absence. Accrual rate will be reduced to 60%when employee is receiving
Short-term Disability (STD). Time off accrued while on leave will be available for use if and
when the employee returns to work following the leave of absence. Leave time accrued
during leaves of absence are forfeited if employee does not return.
3. Full-time employees may request vacation time of up to a maximum of 80 hours (50 hours for
part-time employees) before it is accrued. Time cannot be borrowed from a future accrual
year. If employment is terminated, any used vacation time not yet accrued will be deducted
from the final paycheck.
4. Full-time employees may carryover no more than 40 hours to the following calendar year.
Time-off eligible part-time employees may carryover no more than 20 vacation hours.
Vacation above this amount is deemed forfeited. Carryover for schools is based on fiscal
year.
5. Employees working less than 1040 hours per year are not entitled to vacation time.
6. If an employee becomes ill during a scheduled vacation, those hours will not be converted
to sick time unless the employee can provide a physician’s statement validating illness. If a
physician’s note is not provided, vacation hours will be docked or employee will be placed
on an unpaid status.
