1.5.5.13 Confirm the stage timetable for services and note its relationship
to the project timetable as agreed with the client. The timetable
should show critical points by which information from the client
and design team members will be required.
1.5.5.14 Establish arrangements for communication between the client’s
representative, the CDM coordinator, the project manager and
the lead designer.
1.5.5.15 Agree working methods and procedures with the design team
members, including:
• means for integrating and coordinating effort and inputs
• compatibility in systems, software, etc.

1.5.5.16 Establish a programme and pattern for design team meetings.
Figure 1/1 is a specimen agenda for an initial design team
meeting.
1.5.5.17 Establish procedures for regular reporting to the client.
Procedures for design team members should be clearly set out and
closely followed throughout the project.

Set up an in-house project team.

Establish who will lead the office design unit. Identify personnel,
roles, accountability and lines of communication and reporting
within the office and with the external project team and the
client.

Establish office administration procedures.

Open project files and allocate a job number to the project in
accordance with office practice. Check with the client the full
project title to be used.
