SERVICE GUIDE: WATER BILL VALIDATION
Our TEC Bill Validation service is part of our ongoing commitment to providing value for our membership. We believe
that leveraging data can support member institutions to liberate internal resource to focus on teaching excellence
and other areas as required.
WHAT ARE TEC VALIDATING ON THE BILLS?
Accurate data and utility billing management have long been
an area of concern for our members. Inaccurate invoices place
a substantial cost burden on energy users, yet many members
do not have the time or resource to check the individual elements
on each invoice received. On every bill TEC carries out over 85
baseline checks which include the following elements:
Account Number Matches
Member
Site address
Core, Water and Waste SPID
(made up of numbers and letters)
Manufacturer Meter Serial Number
(made up of numbers and letters)
Correct Supplier
Correct dates
Is it mathematically, correct?
(Does the bill add up?)
Contract Tariff rates
Billing elements
(Correct application of all regulated
wholesaler charges)
Is it an estimated or actual read?
Highlight consecutive estimated reads.
A clear glossary of terms covering the errors and terminology is
available to support members in understanding and clarifying
the “whole bill” approach. Once we have established the
reason for the omitted invoice, we will assist in calculating any
discrepancy and alert the supplier to ensure that they meet their
framework KPI’s.
Each member receives a separate report for their water invoices
as appropriate. The report consists of a summary sheet for each
billing period, a detailed breakdown of both correct/validated
invoices will be provided alongside inaccurate or erroneous bills
with an estimate of cost and commentary for any discrepancy.
Your TEC Member Services Advisor will also be available for
any queries or enhanced bureau reporting requests that can be
passed through to our knowledgeable data team.
