Sample to do list
Welcoming exchange partners
• Check time of arrival
• Have a pre‑arrival meeting with parents: go through rules
in case of emergency, contact details, arrival time, parking,
have list of items to have ready for the students, etc.
• Book room for welcome
• Welcoming party: organise food and drinks (catering/
parent/guardian contribution)
• Decorate the room
• Help with teachers’ accommodation (if necessary)
• If exchange teachers are staying in self‑catering
accommodation, ask if there are any dietary
requirements and then buy a few essentials for breakfast
partners can meet in the morning for a short assembly
• Arrange for exchange students/teachers to visit classes.
Ask willing colleagues how many students/teachers they
are willing to have in their classes and which class they
should attend (see sample form)
• Confirm numbers of students/teachers with colleagues
• Prepare list/poster with students’ names and locations
for different classes. Host students should give them a
tour before school starts so they can find their way.
• Consider meeting with the local mayor/local
representative
• Book photographer and journalist from local paper
• Book a room in your school where your exchange
During exchange
• Meal with BOM and all teachers involved
• Check‑in every morning with Irish students (do their
partners have their lunch; are they eating; participating
in everyday life; etc.)
• Consider organising speed dating with your language
classes (20 minutes in target language and 20 minutes in
English) [SPK1]
• Awards ceremony at the end of the exchange with
prizes. If possible invite next year’s potential students.
Could also act as information meeting for next year’s
potential parents. The first part of the event is the
ceremony and then get students to talk about their
experience of the exchange. Follow this up with an
information meeting at a later stage.
• Time in school: think of lunchtime and how the
exchange students will integrate
Day of departure
• Get permission for students to leave class to say
goodbye
• Have a scales for weighing luggage
• Ask a member of staff who is not involved in the
exchange to take the last group photo so that
everybody is in it
• Book a room where luggage can be stored for the day
and parents/guardians/Irish students can come and say
goodbye to their exchange partners before they depart
After the exchange
• Feedback questionnaires
(online to parents/guardians and students)
• Collect student projects
