Travel GuideFor all travel related questions, please contact travel@sci.utah.eduBefore You TravelWe use software called Concur for travel at the University of Utah. This is a softwarepackage that is used by companies world-wide so there is a chance you9ve heard of itand/or have used it before. Here at SCI, we take care of everything Concur-related.We will request your Concur account for you and you will be notiûed when you are inthe Concur system. You do not have to enter anything into Concur other than yourpersonal information under proûle. Once you have an account you should log in andput necessary travel information into your proûle. This is important because if it is notin there, your travel cannot be booked.¥We have a Travel Request Form that you need to use to notify us that you aretraveling The Travel Request Form is required for any travel for faculty, staW,and students. Once we receive this form, we will register your trip in Concurfor you. The link to the travel form is on the SCI website:https://it.sci.utah.edu/travel-form/Note: We are happy to book your ûights for you. You may book all of your travel yourselfhowever you need to tell us you are traveling by ûlling out the travel request form. Onlybook your own travel if you can wait until you return to be reimbursed. Do not bookyour travel and then ask us for an early reimbursement.¥All travel must be registered in Concur by our staW prior to your trip.International trips must be registered in Concur at least 3 weeks prior toyour departure. Failure to register by this deadline will result in the needfor VP approval.¥We process travel forms in the order they are received, not by travel date. Intimes of high-volume travel (e.g. VIS) it is recommended you submit your travelrequest as soon as possible.¥The University of Utah requires us to purchase international travel insurancefor any international travel. We will purchase the policy and send you thedocuments for your records.¥We strongly recommend booking your airfare with us, as our travel agents havegovernment negotiated contracts with the airlines (for some destinations) tosave us the most money.(See next page)SCI Institute11
